AHEC Meeting Minutes
Thursday, April 9th, 2015, 7:30pm @ Crafts lounge
Attendees: Adam, Alin, Jess, Jordan, Katie, Orpheus, Yuri, Richard (resident), Calvin, Lisa, Chris, JC,

- Help with grilling and set things up
- 12:30pm to 3:30pm
- was thinking 3 grills
- 80 people signed up

- John and Jordan will start mounting them at 8:00am tomorrow
- Everyone is encouraged to come help out
- Gym issues
- Richard is here as a concerned resident
- Chris has met with the gym user and talked to Denise and Adam
- Gist of the argument is that gym users have this perspective that
gym has been broken for a while and they don't get replies from
Denise
- They want more transparency and want to know who is responsible for
fixing the gym
- Suggestion to have a meeting with concerned residents and Denise and
Adam
- Denise mentioned that rooms can be painted only once a year
so holes accumulating over the year can't be patched quickly
- In terms of fixing the gym equipment, Nadim has been put in touch
with gym services
- The knee raise is a discontinued model, so they're having a hard time
replacing the pads. Still working on it.
- Denise suggested to increase # of signs
- Denise talked to cleaning staff and cleaning solutions will be filled
now
- Denise talked to Dennis Collins at housing about changing the rooms
looks like it's possible
- Denise mentioned that she works 9 to 5pm, so that's why sometimes she
does not reply as quickly as residents might expec
- When the flood happened, she only got the email in the morning
- We need to publicize the FIXIT phone #'s, so residents can call them

- 5th year at Ashdown, has been an officer, understands these things
- says cover on the vent fell of in his 2nd year here
- sent email to athletics, but they said nothing they can do
- still left there
- gym users are happy to report, but they're not sure who to follow
up with, who to bother, who's supposed to do this
- residents feel like they don't have an input
- in the aerobics room, there's a punching bag that can't be used
- apparently residents weren't asked about purchasing it?
- no hard feelings, just gotta be able to communicate constructively
- Q: if another will-fund gym piece is broken, how soon can it be fixed?
- A: in the future, institutional memory should help us remember
that will-fund bought equipment can be serviced through a contractor
- would be helpful to have a sign on the piece of equipment that is being
repaired
- Jess: have people who reported the problem, be CCd on the problem

- two kinds of equipment: MIT-purchased, Will-Fund purchased
- leg lift was will-fund purchased and as a result, more difficult to fix
- Moving the gym
- Revisiting moving the gym to the computer/quiet study room
- Richard agrees that the gym is too small, and that's what causes people
to break walls when they avoid each other with weights in hands
- Richard suggests doing a poll in the actual gym
- Maybe a town hall could work as well
- Richard mentioned that computer lounge room is harder to get to
- Richard thinks the computer lounge is not used by as many people
- In terms of gym equipment, Richard doesn't think we need more equipment
maybe an EZ bar
- Maybe form committees that can investigate
- Richard says that when they moved the study lounge from the 2nd floor to
where it is now nobody pushed back
- Katie said the AHEC polled the dorm and found out what residents wanted
- residents apparently wanted a quiet study room
- in the end she thinks it was just the location that ended up in low use
- Richard says it's really loud in the "quiet" study room
- Jordan proposes to form a group of AHEC and interested parties, to poll
residents and come up with a proposal for why we want to move it
- Richard is also worried about the noise the gym would create in the
study lounge

- Friday Orpheus and Lisa met with Denise
- Toolshed: Denise asked Facilities, they said go ahead and buy it and put it
between buildings 3 and 4
- John was very helpful, he came up with lots of equipment we might want to
buy
- the problem is we didn't talk about budget

- we haven't bought any tools for Sunday
- we don't have seeds bought

- we'll buy 5 pairs of gloves and some stakes for stuff to grow on

- Chris suggests we cut the post-event reports, not relevant for all
officers
- AHEC retreat

- Art for spring concert
- Need to know how much printing the photos would cost
- Need to know how many easels

- Met on Saturday, cleaned kitchen
- Decided on a lot of signs
- JC is talking to publicity to make nice signs
- Wiki
- Looked into various options
- Most appealing to use MIT's system, which allows users to login using
certificates
- Questions:
- How do we let anyone view parts of the wiki without certificates?
- Control who views/edits content?
- Is there a system in place where there is content that only AHEC sees
and edits?
- Policy:
- what should go on the wiki, what on the website?
- should webpages by default be editable by officers or residents?
- should there even be hidden webpages?
- how do we decided what those are?
- Chris says all webpages should be viewable, minus some AHEC ones (like
resident X had a problem with resident Y)
- we might be able to let residents suggest edits to pages
